The Project and Operations Manager (POM) provides direct support and oversight for the operational affairs of the Apex System Center for Innovation and Entrepreneurship. The Project and Operations Manager provides day-to-day oversight and coordination of the implementation of the centers ongoing programs and provides management oversight for the business and administrative operations of the center including personnel administration, report preparation, and space utilization. The position will work with the college's Associate Director for Budget and Finance to understand and assist with center-wide budgeting and financial management, planning and reporting, and assuring the center has implemented all university required controls. This position will initially report to the Director of Operations with a dual reporting line to the Director of the Apex Systems Center for Innovation & Entrepreneurship.
The Project and Operations Manager's primary objective is to provide cohesive oversight of implementation and administration of the center's projects and programs. This position is responsible for coordinating the implementation of programs, conferences, workshops, symposiums, fundraisers, and other unique offerings. The Project and Operations Manager is also responsible for assisting in the development of program budgets; assuring the time-line and scope of services for each project is determined, working with the program coordinator team and all center functional units to oversee project implementation, , negotiate facility agreements and contracts; assisting in the assessment of program needs and identifying needs for marketing research; and post-program reporting.
Occasional travel required to provide on-site local and out-of-town program support. Occasional weekend, early morning, and late evening work required based on program schedules.
Required Qualifications:Bachelor's degree in business or a related field or equivalent training and/or experience in financial, business or hospitality management
Experience with project planning in an academic or corporate setting
Experience developing and financially managing a variety of programs such as events, conferences, workshops and special events
Experience preparing project budget plans to meet stated financial goals
Strong computer skills in word processing, spreadsheets, email, internet navigation and an understanding of social media
Exceptional writing skills including the ability to develop proposals and position papers
Demonstrated ability to effectively manage confidential information
Demonstrated ability to prioritize and manage multiple tasks concurrently; excellent organizational and delegation skills; and ability to work collaboratively in a team environment
Demonstrated ability to work professionally and effectively with executive and senior leadership and representatives of federal, state and local agencies and offices
Analytical, critical thinking and problem-solving skills, with strong attention to detail and ability to see the big picture
Preferred Qualifications: Significant administrative responsibility in higher education or public sector
Broad understanding of higher education issues and operations
experience working with university governance
experience coordinating support activities and preparing materials for governing boards
General understanding of the operations of one or more of the following: facilities, business services, and human resources
Experience with Commonwealth of Virginia and/or university policies and procedures
Certified Program Planner (CPP), Certified Meeting Planner (CMP), or Project Management Professional (PMP) designations
Strong online marketing experience. Proven record driving awareness through online marketing and social media
